JOB SUMMARY

Responsible for the clinical and clerical support in the physician office. This includes, but is not limited to, patient assessment, vital signs, phlebotomy, urinalysis/body fluid specimens, EKG’s, along with documentation, faxing, copying, and mailing records, completion of forms, scheduling of tests for patients; and pre-certifying patient visits/screenings.  Clerical support for scheduling/reception of patients, registration, charging and initiation of new records; and maintenance of current records.  Communicates and collaborates with other healthcare team members.  Adheres to organizational polices and procedures.

    KNOWLEDGE AND SKILLS

    Medical assistant/phlebotomy skills.

    Typing, computer skills and knowledge of general office equipment required. Excellent communication skills and telephone etiquette necessary. Familiarity with hospital and client community beneficial.

    PRIMARY JOB RESPONSIBILITIES

    Assists with the clinical area processes and scheduling.

    • Schedules testing and appointments for patients, releases medical records/films, and notifies patients.
    • Receives request for services.
    • Asks appropriate questions to meet requests.
    • Reviews schedule for available time slot.
    • Gives client date and time available and clarifies if time is appropriate for client.
    • Schedules appropriately to meet client and/or regulatory compliance.
    • Obtains complete information for appointment scheduled.

    Demonstrates clerical skills.

    • Initiates and maintains accurate charges in a timely manner.
    • Greets and registers clients prior to appointment.
    • Inputs client information into computer system and updates to maintain ongoing and current health and billing data.
    • Completes and monitors patient attribution and various excel spreadsheets
    • Review various eligibility systems related to patient care

    Medical Records.

    • Maintains an adequate supply of forms, materials, and supplies for client charts.
    • Provides practitioner/physician, patients, and physician offices with requested information.
    • Makes up new charts with appropriate forms.
    • Keep medical records neat and orderly.
    • Files notes appropriately in computer system.
    • Processes completed charts, and gathers all completed forms and completed medical data.
    • Forwards completed chart to appropriate area for filing.

    Practices Information Management.

    • Processes charts -- mounting test results, copying completed charts, faxing charts, obtaining physician clearance, company notification of clearance, mailing and final filing of records.
    • Copying and forwarding records to the appropriate areas.
    • Gathers charts for information as requested and necessary for the Patient Center Medical Home, Managed Care Organizations, BWC, attorneys, and employers; copy, fax, and/or mail.
    • Gathers appropriate charts for case management follow-up.
    • Assembles initial medical record.

    Provides comprehensive, coordinated care management through team based care to all patients.

    ADDITIONAL RESPONSIBILITIES

    If qualified to do so, (certified phlebotomist and/or certified medical assistant; or other specific training has been completed):

    • Prepares patients for the nurse and physician.
    • Records height & weight, if required.
    • Provides initial documentation on injured patient (injury specific, i.e., arm, wrist, hand, elbow; and which hand is dominant).
    • Provides gown/shorts for more detailed physicals.
    • Performs other Medical Assistant duties, as assigned and approved by completion of annual competencies.

    Promotes continuous quality improvement/customer service efforts.

    • Enhance the services provided to patients, their families, physician/practitioners and members of the staff by demonstrating positive attitudes and positive actions through a display of courtesy, congeniality, cooperation, sensitivity and professionalism.

    Requirements Include

    EDUCATION AND WORK EXPERIENCE

    • Registered/Certified Medical Assistant required after 2/1/22. 
    • If not Certified/Registered at time of hire, MA will have 6 months to obtain.
    • High school diploma or equivalent.  
    • Minimum of two years clerical and clinical experience preferred.
    • Previous experience with registration, medical records and payors preferred. 
    • Current American Heart Association (AHA) Health Care Provider CPR (BLS) certification required.
